Terms of Service

Last updated: 17 September 2026

These terms govern the use of MediBook ("MediBook", "we", "us", "our") — the WhatsApp booking assistant and the admin dashboard hospitals and clinics ("Hospital", "you") use to run it. By creating a MediBook account, or by a Hospital using MediBook to operate its WhatsApp number, you agree to these terms.

A patient messaging a Hospital's WhatsApp number isn't creating a MediBook account and isn't a party to this agreement — they're interacting with that Hospital's own booking assistant, which the Hospital has chosen to operate using MediBook.

1. The service

MediBook connects a Hospital's own WhatsApp Business number to an AI assistant that shows doctors, fees, and open slots, confirms bookings, and sends reminders — plus a dashboard for the Hospital's staff to manage doctors, schedules, patients, and appointments. We aim to keep the service available and working as described, but like any software service, it can have downtime, bugs, or be changed or discontinued — we'll do our best to give notice of anything that materially affects you.

2. Accounts & responsibilities

  • A Hospital is responsible for the accuracy of the information it configures (doctors, schedules, fees) — patients rely on this being current.
  • A Hospital is responsible for the accounts it creates for its own staff (admins, doctors, front desk) and for keeping login credentials confidential.
  • A Hospital must have the right to use the WhatsApp Business number it connects, and must comply with Meta's own WhatsApp Business Platform policies for that number.
  • You must provide accurate information when signing up and keep it up to date.

3. The WhatsApp assistant isn't medical advice

MediBook's assistant helps a patient find and book an appointment slot — it does not provide medical advice, diagnosis, or treatment, and nothing it says should be treated as such. An appointment booked through MediBook is a request for a slot with the Hospital's chosen doctor; it's confirmed instantly by the system based on the doctor's configured availability, but remains subject to the Hospital's own scheduling and cancellation practices.

4. Fees & billing

A Hospital's plan, billing cycle, and any add-on message packs are as shown on its own dashboard and invoice at the time of purchase. Applicable taxes (e.g. GST) are added as shown on the invoice. Fees are billed in advance for a subscription plan and are non-refundable except where required by law or expressly stated otherwise. We may change plan pricing going forward; we won't change what you've already been charged for a period you've paid for.

5. Acceptable use

You (and anyone using your Hospital's account) agree not to:

  • Use MediBook to send unsolicited, misleading, or spam messages to patients.
  • Attempt to access another Hospital's data, or bypass the role-based access controls in the dashboard.
  • Reverse-engineer, resell, or white-label the service beyond your own Hospital's use of it.
  • Use the service in a way that violates applicable law, or Meta's WhatsApp Business Platform policies.

6. Intellectual property

MediBook and its software, design, and branding are owned by us. A Hospital keeps ownership of its own data — doctor lists, patient records, appointment history, and any logo/branding it uploads — and grants us only the right to store and process it in order to provide the service.

7. Third-party services

MediBook relies on Meta's WhatsApp Business Platform to send and receive messages, and on Anthropic's Claude to power the assistant's replies. Your use of MediBook is also subject to those providers' own applicable terms where relevant, and we're not responsible for outages or changes on their end that are outside our control.

8. Disclaimers

MediBook is provided "as is" and "as available." To the fullest extent permitted by law, we disclaim warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We don't guarantee the service will be uninterrupted, error-free, or that every WhatsApp message will be delivered — message delivery ultimately depends on Meta's platform and the recipient's own phone/network.

9. Limitation of liability

To the fullest extent permitted by law, MediBook will not be liable for any indirect, incidental, special, or consequential damages, or for loss of revenue, data, or goodwill, arising from your use of the service. Our total liability for any claim relating to the service is limited to the amount you paid us for the service in the 3 months before the claim arose.

10. Termination

You may stop using MediBook at any time. We may suspend or terminate an account that violates these terms, misuses the WhatsApp platform, or where required by law. On termination, a Hospital's data is handled per our Privacy Policy.

11. Governing law

These terms are governed by the laws of India. Any dispute arising from these terms will be subject to the exclusive jurisdiction of the courts at [city/state to be added].

12. Changes to these terms

We may update these terms as the service evolves. We'll update the "Last updated" date above when we do, and let Hospitals know of any change that materially affects them.
